Based on the Rector’s Decree Number 23 of 2024 concerning Education, lectures can be conducted using offline, online, or blended learning methods. The learning methods are outlined in the syllabus, the Lesson Plans, and the Semester Course Outline (RPKPS).
The media used for online or blended learning include Zoom, Google Meet, Google Classroom, eLOK, and others. Lectures are held 14 times in one semester, divided into two seven-week periods: one before the Midterm Exam (UTS) and one after. Lectures are held every day from Monday to Friday, starting at 07.30-19.30 WIB. The session break between the first and second sessions is 30 minutes. The afternoon break is from 12.00–13.00 WIB. Students must follow the attendance rules and regulations during the lecturing period.
A. Student Rules and Regulations
- Online Class Rules and Regulations
- Students attend the class according to the schedule and by logging in to the online platform, which has been communicated to them by the course lecturer via Simaster or via an email broadcast from the Academic Office.
- Students must comply with the attendance mechanism set by the course lecturer while attending online lectures.
- Students must comply with online lecture ethics, which include turning off the microphone when entering online classes, activating the video feature when instructed by the lecturer, asking questions using the raise hand feature or typing questions through the chat box, and being prudent in their use of online class features. If students want to leave the online space temporarily (for example, to use the restroom), they must write down their needs in the chat box.
- Attendance Rules and Regulations
- Lecture attendance for offline classes is taken by fingerprint tapping 15 minutes before the class starts and continues until 15 minutes after the class starts.
- Class participants must ensure that attendance is successful by receiving a “thank you” notification on the fingerprint machine. The attendance system will send a notification to students’ UGM email.
- Class participants who take online classes (for example, via Zoom online meetings) will receive a QR code or a Google form attendance link from the Academic Office of the Undergraduate Study Program at each meeting session. The attendance of class participants for the asynchronous class, as set by the class lecturer, will be taken into account in accordance with the policies outlined in the syllabus/Lesson Plans, and Semester Course Outline (RPKPS).
- Class participants who did not do the fingerprint tapping in the offline classes will be considered absent.
- If the class lecturer establishes a specific rule for the lecture time and it becomes a class agreement, the students can adjust the period for fingerprint tapping. For example, for the lecture scheduled on 7.30 WIB, students can participate in fingerprint tapping 15 minutes before the class starts until 15 minutes after, according to the specified time.
- Students who perform fingerprint tapping outside the scheduled time (see Rule Number 1) will still receive a notification on their UGM email, but the tapping will not be recorded in SIMASTER attendance.
- If a student has recorded their attendance according to provisions number 1 and 2 but did not receive a UGM email notification, students can submit a fingerprint attendance claim within a maximum of 14 days from the date of the lecture.
- The fingerprint attendance claim form can be downloaded from https://ugm.id/INFORMASIAKADEMIKS1FEB and submitted to the Academic Office, Lecture Services, or sent via email to perkuliahan.feb@ugm.ac.id.
B. Student’s Attendance at Lecture Activities
- Students are obligated to attend lectures that have been agreed upon and written in the syllabus/the Lesson Plans, and the Semester Course Outline (RPKPS).
- Students are fully responsible for their attendance.
- If a student is late for class and is not allowed to join by the lecturer, they are considered absent.
- Absence that can be tolerated is as follows.
- Sick: evidenced by an authentic doctor’s letter with an official stamp.
- The death of a family member (father, mother, grandfather, grandmother, younger brother, sister, child): evidenced by a death certificate from an authorized official (family letter/RT/RW or death certificate).
Faculty and/or university duties (such as carrying the name of the study program, department, faculty, or university while participating in competitions or conferences) as evidenced by a statement letter from the Vice Dean of Academic and Student Affairs (Vice Dean 1). - Religious events that cannot be scheduled in advance, such as the Hajj/pilgrimage. Students must show proof of travel documents.
- All proof of absence must be handed over to the Academic Office. The deadline for submitting proof of absence is two weeks (14 days) after the date of absence. An absence claim beyond that will not be processed.
- For students who experience clashes in lectures both in online and offline classes caused by temporary class schedule changes due to the lecturer postponing/shifting the schedule, the student is advised to take the fixed scheduled class and submit the conflicting lecture in the Undergraduate Program Lecture Services.
- Students who submit attendance claims or fingerprint claim forms after the scheduled time will not be processed, and the actual attendance data will be considered correct.
- Students must attach valid supporting documents when submitting an attendance claim or fingerprint claim form. The Undergraduate Academic Office will verify the application and may reject the application if there are insufficient supporting documents.
C. Student’s Attendance for Midterm Exam (UTS) and Final Exam (UAS)
- Students can participate in the Final Exam (UAS) if their attendance rate is at least 75% of the total 14 meetings held during one semester. The minimum attendance rate of 75% of the session meetings in one semester is calculated from the total number of meetings held.
- Students are allowed three absences per semester, which can be used as needed.
- Students’ attendance at the Midterm exam is not taken into consideration; however, at the end of the semester, it is still required to meet a 75% attendance rate.
- Students with an attendance rate under 75% can submit an attendance claim to the Academic Office, with further announcements through broadcast email and infographics published by the Undergraduate Program Academic Office.
- The replacement of the Midterm exam and Final exam is organized based on the following rules:
- Exam participants submit replacement exam applications addressed to the Head of the Study Program.
- The submission of a replacement exam can be accepted if the reason for not taking the scheduled Midterm or Final exam is tolerable, as per the tolerated absence points.
- The approval of the replacement exam will be granted by the Undergraduate Program Organizer after verifying the data.
- The Undergraduate Program Academic Office will publish the announcement of the verification result to the exam participants.
