Undergraduate Program
This sub-chapter will discuss communication ethics that students need to know when interacting with lecturers and staff. Communication between students, lecturers, and staff (tendik) will happen throughout the lecturing period. Along with the development of technology, communication between students and lecturers is not only face-to-face, but can also be via short messages via email, SMS, and WhatsApp messenger. There are ethics that must be considered and maintained when communicating with lecturers and staff. Here are some things that can be used as a guide when you want to communicate with lecturers and staff.
Community Service Program (Kuliah Kerja Nyata abbreviated as KKN in Bahasa Indonesia) is an intracurricular activity held by placing students in certain areas in Indonesia. Community Service Program participants consist of student groups with interdisciplinary units. This program is an integrated activity between education and community service in a minimum period of eight weeks which is equivalent to 8 credits. Students will carry out this program for two months with a total of 288 working hours. By the end of the program, students will get a score that will be calculated in the graduation credits at the end of the Bachelor program study. The implementation of KKN is managed by the UGM’s Directorate of Community Service (DPKM UGM).

Academic Requirements for KKN Participants
The requirements for Community Service Program (KKN) consist of academic and administrative requirements. This is in accordance with the Gadjah Mada University Rector’s Decree Number 551/UN1.P/KPT/HUKOR/2022 regarding the Community Service Implementation-Community Empowerment Learning at Gadjah Mada University in 2022, namely:
- Registered as an active student
- Community Service Program Course is compulsory for Diploma 4, Bachelor, and Profession students at Gadjah Mada University with a weight of 8 credits conducted in a minimum of 2 months or the equivalent of 288 working hours in the effective field
- Have taken a minimum of 96 credits worth of lectures and practical course with no E grade (According to the Gadjah Mada University Rector’s Decree)
- Registered as a KKN-PPM participant at the faculty as evidenced by the Course Selection Sheet (KRS) in the semester when the KKN-PPM is held.
- Following up on Circular Letter of the Vice Rector of Education and Teaching, and Student Affairs Number 3889 /UN1.PI/DIR-PP/DI/2020 regarding SIA Simaster Data Filling, here we convey the information regarding changes to the KRS system for KKN-PPM UGM activities, as follows:
- 1st period of KKN is listed on even semester course selection (KRS)
- 2nd period of KKN is listed on the inter-semester course selection (KRS)
- 3rd period of KKN is listed on the odd semester course selection (KRS)
- 4th period of KKN is listed on the even semester course selection (KRS)
- Currently not taking any courses and practical courses
- For female students, not pregnant
- Prospective KKN-PPM participants verification is carried out by the faculty to DPKM through the simaster’s faculty admin
- KKN-PPM activities are given recognition of 8 credits, with the following details:
- UNU222001 KKN-PPM 4 credits
- UNU222002 Public Communication 2 credits
- UNU222004 Application of Knowledge Management 2 credits for students of the social humanities and health cluster.
Administrative Requirements for KKN Participants
Students who register for KKN must meet the following administrative requirements.
- Academic and administrative requirements verification of prospective KKN-PPM participants done by the academic section of the faculty
- Verified as KKN-PPM participants by the Faculty Admin
- Prospective KKN-PPM participants are required to take debriefing, general tests, and KKN-PPM health tests according to the specified schedule
- KKN-PPM participants are participants who have registered at simaster.ugm.ac.id and have attended the full KKN debriefing, have carried out the General Test, and passed the health test
Adjustment of KKN-PPM UGM Credits
Based on the Rector’s Circular Letter Number 6392/UN1.P/Dir-PP/KM.07/2022 dated 2 August 2022 concerning The Adjustment of KKN-PPM SKS and KPI Achievement Targets; Study Program Manager Circular Letter Number 8756/UN1/FEB.S1/AKM/KR/2022 concerning The Adjustment of Credits Weight for Community Service Program (KKN). The KKN-PPM credits weight, which was originally 3 credits, will be adjusted based on the following conditions.

The KKN-PPM credits adjustment does not change the number of credits for compulsory and elective courses that have been set in each Undergraduate Study Program curriculum so that the number of graduation credits will increase by 5 credits in each Study Program, for example: the number of graduation credits of Accounting Study Program students (Bachelor Regular class) 2018 curriculum, which was previously 145 credits, will change into 150 credits.
Regulations for Students Participating in International Mobility
For students who participate in international mobility programs such as exchange or dual degree, students must fulfill the same Community Service Program (KKN) requirements as students who do not participate in international mobility programs.
Students can conduct the Community Service Program (KKN) before or after the implementation of the international mobility program as long as students or participants meet the minimum requirements for participation in Community Service Program (KKN), namely having taken 96 credits without an E grade.

Merdeka Belajar Program – Kampus Merdeka (MBKM) is a program that gives students the right to study outside the study program and provides space for students to carry out learning that is centered on the program.

- Pertukaran Mahasiswa Merdeka (PMM)
- Wirausaha Merdeka
- Indonesian International Student Mobility Awards (IISMA)

- Gerakan Inisiatif Listrik Tenaga Surya (Gerilya)
A. Pre-KRS SIMASTER
- Students who have passed the admission selection for the MBKM Program are required to provide information along with proof of acceptance to the MBKM FEB UGM team via email (This email address is being protected from spambots. You need JavaScript enabled to view it.).
- Students who have passed the MBKM program selection are required to complete the Pre-KRS. The following is the pre-KRS SIMASTER filling period for the MBKM program

- Students are obliged to send the MBKM Program’s learning agreement along with the syllabus and supporting documents which explains the program’s activity. Send the documents through the email This email address is being protected from spambots. You need JavaScript enabled to view it..
- Learning agreement can be donwloaded on http://bit.ly/InfoSWPDC, select PROGRAM MBKM, and select the documents.
- MBKM team will send the learning agreement back to the student after it is approved and signed by the Head of the Study Program. Students then conduct the Pre-KRS Simaster process.
- Maximum credit for bachelor degree is 24 each semester. Students are obliged to leave credit spaces on the ongoing semester for the MBKM program credit transfer.
- Students correspondece with only one email thread (do not communicate with any email disconnected to the thread), until the end of the MBKM program including the administration process. The use of one thread email is intended so that the MBKM team can monitor progress/monitor student activities and get decent data records.

- Approved transferred credits which has been included on the Pre-KRS will be integrated with the study plan. There is no need for students to conduct the independent course registration on the course selection period (KRS) since Pre-KRS and regular KRS are two different schemes.
B. Each Study Progam MBKM’s Conversion Provisions and Scheme
- Accounting Bachelor Degree
- Students who have passed the MBKM program selection are not allowed to resign
- Students are allowed to take courses while participating in the MBKM Program, with the following conditions:
- Students provide information to partners and obtained approval
- MBKM activities and lectures do not interfere with each other
- Students take full responsibility should there is a schedule that coincides with lectures during the implementation of the MBKM program. The study program does not provide special dispensation related to lecture activities for students taking part in MBKM program
- Students can apply for conversion in the form of:
- Recognition/conversion to courses credit up to 20 credits and recorded activities on the Surat Keterangan Pendamping Ijazah (SKPI)
- Recorded on SKPI
- Students are required to fill in SIMASTER during judiciary/graduation while writing SKPI.
- Courses requirements which can be applied for conversion:
- Elective courses in the curriculum used by students.
- A new course with the name of “Independence Campus Independent Learning Program…(amount)…SKS”
- Conversion of courses from the MBKM Program are counted as elective courses and are included in the calculation of the credits number required for graduation.
- Converted MBKM grades are in accordance with the grades given by the MBKM Program partners listed in the transcript.
- Students who need a Field Supervisor (DPL) can submit an application via email This email address is being protected from spambots. You need JavaScript enabled to view it. at the start of the MBKM Program along with the supervisor’s duties and functions during the mentoring. We strongly recommend students to communicate with partners in advance regarding supervisor’s needs.
- Students who take the thesis in the current semester (2022/2023 Even Semester) (fill in the Thesis KRS), the maximum number of credits that can be submitted for conversion from the MBKM Program is 18 credits.
- j. If in the current semester (Even 2022/2023) students take thesis along with the implementation of the MBKM program, then the process and thesis guidance scheme will be carried out in accordance with the Thesis Advisory Lecturer (DPS) policy and the agreement between the student and the lecturer. Students can communicate further with their respective DPS.
- Students can register for thesis defense and take comprehensive exams/UKBK while carrying out the MBKM Program. However, graduation documents such as a Surat Keterangan Lulus (SKL) and the judiciary and graduation registration process will be issued by the Academic Section after all the activities and administration of the MBKM Program have been completed between students and partners, Kampus Merdeka, and the Faculty.
- Economics Bachelor Degree
- Students who have passed the MBKM program selection are not allowed to resign.
- Students are allowed to take courses while participating in the MBKM Program, with the following conditions:
- Students provide information to partners and obtained approval
- MBKM activities and lectures do not interfere with each other
- Students take full responsibility should there is a schedule that coincides with lectures during the implementation of the MBKM program. The study program does not provide special dispensation related to lecture activities for students taking part in MBKM program
- Students can apply for conversion in the form of:
- Recognition/conversion to courses credit up to 9 credits (20 credits conversion for IISMA program participants only) and recorded activities on the Surat Keterangan Pendamping Ijazah (SKPI)
- Recorded on SKPI
- Students are required to fill in SIMASTER during judiciary/graduation while writing SKPI.
- Courses requirements which can be applied for conversion:
- Elective courses in the curriculum used by students.
- A new course with the name of “Independence Campus Independent Learning Program…(amount)…SKS”

- Management (Business) Bachelor Degree
- Students who have passed the MBKM program selection are not allowed to resign.
- Students who take part in the MBKM Program in the current semester (Even 2022/2023) are allowed to take a maximum of 4 credits of courses, with the following conditions:
- Students provide information to partners and obtained approval
- MBKM activities and lectures do not interfere with each other
- Students take full responsibility should there is a schedule that coincides with lectures during the implementation of the MBKM program. The study program does not provide special dispensation related to lecture activities for students taking part in MBKM program
- Students who are currently in their 8th semester cannot take thesis and MBKM program simultaneously, since it will exceed the maximum credits limit number per semester for undergraduate students, which is 24 credits (an example of calculation if students take thesis and MBKM simultaneously) concurrently: 20 credits from the MBKM Program conversion + 6 thesis credits = 26 credits). Therefore, students will carry out informal thesis guidance and will receive an informal Thesis Supervisor (DPS) allocation while the MBKM program is running. Then, in the 9th semester, students carry out the Thesis and conduct a comprehensive Thesis and trial at least two months after receiving the formal DPS allocation.
- The informal thesis supervisor during the MBKM program will be the same as the informal thesis supervisor that has been allocated while taking Seminar courses for students who have already taken Seminar courses before participating in the MBKM Program, , students can continue the mentoring session with the lecturer. Should the students have not taken Seminar courses, students can apply for conversion of the MBKM Program, one of which is to Seminar courses and will receive an allocation of informal thesis supervisors.
- Students who need Field Supervisors (DPL) can apply directly to the lecturer via email. Students are asked to contact the MBKM program from the start alongside with information regarding the DPL's duties and functions of the DPL during the mentoring. We strongly recommend that students communicate with partners in advance regarding DPL needs. If the lecturer is willing, the student could submit an email to This email address is being protected from spambots. - Students who have received DPL allocations for the MBKM program and are committed to continuing and developing the results of the MBKM program that have been implemented into thesis topics, the allocation of Informal Thesis Advisors will be the same as the DPL that has been allocated in the MBKM program. If students are not committed to continuing and developing the results of the MBKM program that have been implemented as a thesis topic, students will receive DPS allocations in accordance with the study program policies.

C. Pasca Program
- Students are required to submit post-MBKM Program documents a maximum of 14 days before the next semester's KRS period begins. Following are the post-MBKM Program documents that must be submitted by students.
- Accepted learning agreement from Head of Study Program*
- MBKM activity report (the format can be adapted to the format from the Kampus Merdeka)*
- Worksheet/logbook which explains the activities done on the MBKM Program*
- Personal testimony on participating in the MBKM Program (free format)*
- Official transcript/grades from MBKM Program partner*
The format of the assessment form or transcript is endeavored to have values in the form of numeric grades and letter grades as well as a conversion scheme from numeric grades to letter grades. If no conversion scheme is available from partners, then the conversion process will be in accordance with the provisions that apply at UGM. - Official internship cover letter from the faculty *
