The Faculty of Economics and Business at Universitas Gadjah Mada (FEB UGM) destroyed physical financial records, specifically SPJ documents, in the Archive Meeting Room on the 3rd Floor of FEB UGM on January 24, 2024.
Maryatun, S.E., M.A., the Coordinator of the Library and Archive Division at FEB UGM, explained that the destruction of archives complied with Law No. 43 of 2009 on Archives, particularly Article 73, Paragraph 1, which outlines the procedures for destroying records at higher education institutions with a retention period of less than 10 years. FEB UGM destroyed records that had exceeded their retention period, lacked functional value, and were unnecessary as evidence in legal proceedings.
“The destruction involved financial records from FEB UGM for 2008–2013. We destroyed 12,148 files,” she explained on Friday (January 24, 2025) while signing the record destruction report at FEB UGM.
Maryatun added that destroying archives supports optimal document management at FEB UGM. The process reduces the volume of records with no functional value while improving archiving efficiency. Furthermore, FEB plans to enhance IT-based business processes, reduce physical documents, and promote environmental sustainability.
The Head of the Administrative Office of FEB UGM, Nur Bakti Susilo, S.E., Ak., CA., ASEAN CPA; the Head of the UGM Archive Division, Erna Widayanti, S.E., MM.; representatives from UGM’s Internal Audit Unit; and representatives from UGM’s Legal and Organization Bureau witnessed the destruction of FEB UGM’s physical financial records.
